**Q1. What are beneficiaries?**

- Beneficiaries are used for disbursements. They represent payment recipients and store their payout details, such as payment method and account information.
- A contact can have multiple beneficiaries. Contacts store the person’s details, while beneficiaries store their payout details (how they receive payments).

**Q2. What are the requirements to use beneficiaries?**

- To use beneficiaries for disbursements, you must first [set up a payment connection](https://help.jaz.ai/en/articles/14819935-setup-connections#h_803d317fce) that supports disbursements.
- Some payment services may not support disbursements and will not appear in the list.

**Q3. How do I create a beneficiary?**

- You can create a beneficiary in two ways:
  - From **Contacts**
  - During a **disbursement flow** by adding a new beneficiary**Q4. How do I use a beneficiary?**

- When making online disbursements, select a beneficiary for each contact. A single beneficiary can also be used across multiple contacts.

**Q5. How do I manage a beneficiary (edit or delete)?**

- **To edit:**Choose a beneficiary → click the 3-dot icon → **Edit**
  - Note: editing beneficiaries will not impact past disbursements. Edits will only take effect for succeeding disbursements.
- **To delete:** Choose a beneficiary → click the 3-dot icon →**DeleteQ6. Where can I manage all my beneficiaries?**

- Go to **Contacts** →**Beneficiaries.Q7. Can I use a beneficiary for a different contact in bills?**

- Yes. You can choose any available beneficiary when processing bill payments, regardless of the contact.

**Q8. Why can’t I disburse to a beneficiary with payment method set to “Paid offline”?**

- Disbursements require an active payment service connection. You cannot process online disbursements for beneficiaries set to “Paid offline.”

**Q9. What happens to a beneficiary when I edit a payment connection?**

- The beneficiary’s payment method and currency will reset. You’ll need to set them up again before using them for disbursements.

**Q10. Why can’t I see a payment connection I just connected?**

- Some payment services do not support disbursements. Only [supported services](https://help.jaz.ai/en/articles/14819935-setup-connections#h_803d317fce) will appear in the list.

**Q11. Are there limits to choosing beneficiaries during disbursement?**

- Yes. Limits depend on the connected payment service. For example, PayNow has a per-transaction limit of up to S$200,000 for local transfers.
- This limit is applied to the total disbursement amount per transaction. For example, if you are disbursing to multiple contacts using the same beneficiary:
  - Contact 1: S$100,000
  - Contact 2: S$100,000
  - Contact 3: S$50,000
  - The total becomes S$250,000, which exceeds the limit. In this case, the beneficiary will no longer be available for selection once the limit is reached.

### Contact Groups

**Q1. How do I add Contact Groups?**

- When adding or editing a contact, simply select a group or add a new group.

**Q2. Can my contacts belong to multiple groups?**

- Yes, a group can include both suppliers and customers.

**Q3. How can I edit my Contact Groups?**

- Go to Contacts > + New Contact Dropdown > Manage Groups
- Hover over a group and click on the 3-dot icon.
- You can then edit the group name and select contacts you want to include in the group.

**Q4. What reports can I use Contact Groups in?**

- You can use Contact Groups in the following reports
  - Ledger
  - Aged Receivables (Summary)
  - Aged Receivables (Details)
  - Aged Payables (Summary)
  - Aged Payables (Details)

**Q5. Will editing contacts in Contact Groups affect my reports?**

- Yes, changes will reflect immediately.

**Q6. Why don’t I see the Contact Groups filter in my reports?**

- The "Contact Groups" filter appears when the contact entry in the report is linked to a group.

**Q7. What bulk actions can I perform with Contact Groups?**

- Currently, Contact Groups are limited to organizing and analyzing contacts. Future bulk actions may include generating multiple invoices for a group.

**Q1. What is a Sales Activity PDF?**

- A contact's sales activity PDF gives a simple and clean overview of the outstanding balances within a selected period.
- It also lists all the transactions that took place within the selected time frame.

**Q2. Where can I download the Sales Activity PDF for a contact from?**

- You can download a contacts sales activity PDF from the contacts details.

**Q3. What is the 'Statement of Balances' in the Sales Activity PDF?**

- The Statement of Balances section of the PDF gives a quick and accurate overview of the total outstanding balances for each of the currencies of a contact.
- The Summary of Balances table gives a breakdown of the outstanding balances in pockets of time.
- The outstanding Balances table lists all the outstanding Invoices & unapplied / partially applied Credit Notes and their details like their actual amount and the balance due on them.

**Q4. What is the 'Statement of Accounts' in the Sales Activity PDF?**

- The Statement of Accounts section of the PDF gives a currency wise activity in the selected time frame.
- Each currency section has an opening balance which is the balance due outside of the selected time frame.
- Apart from the opening balance, each currency section lists all the invoices, payments made against the invoices, credit notes created & refunds that fall within the selected time.

**Q5. Will I be able to view all the transactions in their original currencies in the Sales Activity PDF of a contact?**

- Yes! Irrespective of the contacts default currency you will see all the transactions in their original currency in the sales activity PDF.

**Q1. What is a contact?**

- Contacts are the business or people that you engage with. These can be suppliers, customers, or both.

**Q2. How do I add a contact?**

- Head over to **Contacts** > +**Add New ContactQ3. Can I add contacts in bulk?**

- Yes, you can import contacts in bulk.
- You can import up to a maximum of 5,000

**Q4. Can I create a contact that is both a customer & supplier?**

- Yes, just switch on the toggles for both **This contact is a Customer**and **This contact is a Supplier.Q5. How do I modify (edit/delete) a contact?**

- Edit/Delete options can be found under the 3 dot menu for a contact.
- **Note**: If a contact is deleted, you will not be able to undo the action or retrieve the deleted contact.**Q6. How do I edit contacts in bulk?**

- To edit in bulk, choose **Import Contacts** and download the**Template**.
- Use the template to edit your current contacts.
  - Note: do not edit or enter values in "Unique ID". This will cause import errors.

**Q7. How do I delete contacts in bulk?**

- Tick the boxes of the contacts you wish to delete in bulk and click the delete button.

**Q8. How do I add in an email for a contact?**

- Under **Contact Emails**, you can define one or more emails to be associated with a contact.
- To add multiple emails, enter a label and email, click "Add New Line" or press CTRL+i, and repeat.

**Q9. Can I attach documents to a contact?**

- Yes, documents can be attached to contacts for easier management.

**Q10. What are transaction settings for a contact?**

- **Transaction level settings** for a contact which will be fetched and used to autofill a transaction based on the contact selected.
- Some transaction settings include the default customer payment terms, and default GST profile.

**Q11. What are payment terms, and how do I set them for a contact?**

- **Payment terms**refer to the maximum duration that a customer has from the date of a transaction to make payment. This affects the due date of a transaction.
- If the payment terms is 7 days, then a customer needs to make payment for an invoice within 7 days.
- To set them for a contact, refer to [What are transaction settings](#h_ddb0977032)?

**Q12. Can I assign a specific currency to a contact? Can I later change the currency?**

- Yes, you can assign a currency to a contact. See [What are the transaction settings?](#h_ddb0977032) for more information.
- You can change the contact's currency afterward by editing the contact.

**Q13. What is the "invoice notes" section for a contact?**

- This serves as a default for invoice notes when creating invoices with this contact.
- Any information filled in this box will be used when you create a new invoice with the contact.
- **Note:**Invoice notes can be useful for keeping track of information relating to the contact, such as bank account or payment information.

**Q14. Can I set custom templates per contact?**

- Yes, you can assign contact-specific default PDF and email templates. If none is set, the organization’s default template applies.

**Q15. Can I add custom fields for contacts?**

- Yes, you can apply custom fields to contacts. Use this to further add custom details to your contacts.

**Q16. What is the Jaz Magic setting in a contact? What does it do?**

- Jaz Magic default setting controls how data from invoice, bill, credit and supplier credit note attachments is automatically extracted when creating transactions for that contact.
  - **Autofill Line Items:** Extracts each line separately. Ideal for different accounts or tax profiles.
  - **Autofill Summary Totals:** Extracts total amount only. Ideal for quick entry.
  - **Autofill Off:** Enter details manually.**Q17. What happens if my contact does not have an email set? Can I still send them invoices via email?**

- You will not be able to trigger invoices or other transaction documents via email within Jaz. You will have to download them and send the documents outside of Jaz.

**Q18. How can I view the customer statement for a particular period for a contact?**

- Go to **Contacts** >**Choose a Customer** > Click on the **download icon** > choose a**period** to download the customer statement

**Q19. How do I view all business transactions related to a contact?**

- In the **Home**screen, search for a contact
- You should see a list of transactions related to the contact.

**Q20. What currency is the You Owe/They Owe column amounts in? Can I change the display currency?**

- The amounts in these columns will always be in **your organization's base currency**, not the contact's currency.
- It is not possible to change the display currency.
- If the contact is used to create transactions in foreign currency, the "You owe / they owe" amount will be calculated with today's exchange rate rather than the rates at which the original transactions were created.

**Q21. If I delete a contact, will it change anything in the transactions where I used that contact before?**

- No, it will not. The contact will still be recorded in previous transactions.
- However, you will not be able to select the contact in further transactions.

**Q22. If I delete a contact, will it impact my financial reports?**

- No, deleting a contact has no impact on your financial reports.
